As we continue to expand our operations, we are seeking a detail-oriented and organized Office Administrator to join our dynamic team on a temporary basis to cover a maternity leave.
Job Description:
As an Office Administrator at Caron Equipment, you will play a crucial role in ensuring the smooth operation of our office. You will be responsible for a variety of administrative tasks, supporting our team and contributing to the overall efficiency of our workplace. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Responsibilities:
· Provide general administrative support, including answering phones, responding to emails, and greeting visitors.
· Manage office correspondence, including incoming and outgoing mail and courier services.
· Maintain and update filing systems, ensuring all documents are properly organized and easily accessible.
· Assist with scheduling meetings, preparing agendas, and taking meeting minutes.
· Process invoices, expense reports, and other financial documentation as required.
· Order and maintain office supplies to ensure a well-stocked and organized work environment.
· Support HR and payroll functions, including employee record management and timesheet processing.
· Coordinate travel arrangements for staff as needed.
· Assist in the preparation and distribution of reports, presentations, and other documentation.
· Ensure office operations run smoothly by liaising with vendors, suppliers, and service providers.
· Adhere to company policies and procedures, always ensuring confidentiality and professionalism.
· Detailed administrative work will be required to ensure all employee training records are kept up to date
Qualifications:
- Previous experience in an administrative or office support role.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Detail-oriented with a high level of accuracy in data entry and document management.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of basic accounting and payroll functions is an asset.
- Experience in the construction or industrial sector is a plus.
